Delete your account and data

OrderFood Staff (staff app)

This page explains how to have your OrderFood Staff account and personal data deleted, what you can do yourself right away in the App, and which data must by law be kept for a while longer.

Who manages your account?

Your account is created and managed by your employer (the restaurant). Staff pair their phone with a QR code at the restaurant's terminal or cash register, and managers sign in with an email address and password provided by the employer — there is no self sign-up. Your employer is the data controller, and Nordic IT Resources AB (OrderFood) processes the data on the employer's behalf.

How to request deletion

  • Ask your manager or employer to remove you. A manager can immediately deactivate you and block your phone in the App so the account stops working, and then ask us to delete the data.
  • Or email us yourself at privacy@orderfood.sewith the subject "Delete my account – OrderFood Staff". State your name, the restaurant and the phone number or email address that is registered.

The link fills in the subject line and a template for you.

Because your employer is the data controller, we verify the request with your employer before anything is deleted. You will receive a confirmation within 30 days.

What you can do yourself in the App

  • Staff:Me → "Disconnect this phone"
  • Managers:Manager account (the gear icon) → "Sign out"

This removes the login and the App's data from the phone, blocks the phone, and notifications stop immediately. It does not delete your account or the data your employer holds — request deletion as described above. Staff need a new QR code from the terminal or cash register to get back in.

What is deleted

Once the request has been verified, we delete:

  • Your login (the account)
  • Your staff profile: phone number, employee number and PINs — and your name and personal identity number as soon as the staff ledger no longer needs them (see below)
  • Linked phones and their push tokens
  • When you can't work (recurring days and dates)
  • Messages and flags you have sent, for example when you marked a shift as "Doesn't match"

If you sign in as a manager with the restaurant's own OrderFood login (the same as in the web dashboard), that login belongs to the restaurant's account and is closed under the restaurant's agreement with us.

What is kept, and why

  • Clock-ins and clock-outs (the staff ledger) and scheduled and finalized hours are kept for the current year plus the two previous calendar years, together with the name and personal identity number the ledger must contain. Your employer is required to keep the staff ledger under the Swedish Tax Procedures Act (skatteförfarandelagen). The clock records and shifts are deleted automatically when that period ends, and we then also delete your name and personal identity number.
  • Approved weekly summaries (total hours and absence per week) are deleted at the same limit as the shifts; only the fact that the week was approved, by whom and when, remains.
  • Hours reports your employer has already downloaded or emailed, for example to payroll, are your employer's responsibility.
